Attendee Mapping App - User Guide 

TurnoutNows Attendee Mapping App is used for mapping Turnoutnow Beacon to the Attendee Badges. The app is available on Apple Store and Google Play Store for download. Please download the app and then follow the instructions below to get you started

Home and Navigation


Login


To login, please enter your User ID and the activation code provided to you by the event organizer. In case the app is already logged in, you will directly see the Event Selection Screen.

Event Selection

After logging in, you will be redirected to the event selection screen where you can select the event that you are present at.

App Home Screen

You will now see the home screen of the app that shall display different attendee mapping modes along with app settings icons on the top right corner. NFC Scanning option might be disabled if your device does not support NFC scanning.

Notifications, Bluetooth and Location Permissions - iPhone


Notifications Permission

When opening the App for the first time it will ask for Permissions to use some features on the phone such as Notifications, Bluetooth, Location Services and Camera to be able to function properly. Please Allow all permissions. Please tap on Allow on this screen.

Please tap on OK to allow Bluetooth access to scan beacons while using the beacon testing feature.

Device Auto Scanning

Tap on Device Auto Scanning and allow  the app to access the camera. Auto scanning uses the device camera to scan the badges and beacons.
You can scan the badge and beacon consecutively and they shall be mapped automatically.

Badge ID Confirmation

Whenever a badge is successfully scanned in the Consecutive scanning mode, the badge ID successfully gets displayed in the empty bar.  The green filled color indicates the successful scan of the badge.

Similarly, if a
beacon is scanned before the badge for mapping, the bar gets colored with green indicating successful scan.

When a beacon and badge have been successfully mapped, a confirmation pop-up will appear validating the action.

Manual Scanning

Another scanning option is of Manual Scanning which enables the user to enter Badge IDs and Beacon IDs manually or you can alternatively scan both. The check box allows you to auto save the mapped badges and beacons.

NFC Scanning

Badges and Beacons can also be mapped using the NFC Scanning method. After getting redirected to this screen, you can simply tap the device onto the badge to scan via NFC and beacon ID can either be manually entered or can be scanned via camera.

Handheld Gun Scanning


Handheld Scanning is done using a handheld scanner which should be configured with the device before starting the mapping process. Depending upon the scanner type it can be used to scan either one by one or can be mounted for continuous auto-scanning.

App Features


Sync Data


Once the mapping is complete or during the process as well, the data gets synced automatically. You can tap on the Image Placeholder sync icon manually, just to ensure data is synced to servers.

More Options

For more in-app features, tap on the settings icon highlighted at the top right. You can see more features in the drop down, like Beacon Test, Settings etc.

Settings


Passive Beacon scanning can be enabled or disabled on this screen. This option needs to be enabled for testing single or bulk or faulty beacons – as displayed on the next slide.

Single Beacon Test


The single beacon test enables the user to verify if an individual beacon is working or not. In case a beacon is faulty, it shows up in the faulty beacon list.

Faulty Beacon List - This screen displays a list of any faulty beacon found out while scanning. You can also send this list to our back-end server by tapping on Share.

Bulk Beacon Test

This option enables us to test beacons in bulk. You can set the range/radius (in meters) and tap on Start Scan to begin bulk beacon test. All the beacons within the specified range get tested. The View List button gets enabled once scanning has started. 

In a few minutes, the screen would show the count of beacons nearby. When the count has stabilized, please tap on
Stop Scan button to stop scanning further. Resume Scan button gets enabled once scanning is stopped. To continue scanning please tap Resume Scan button

The Scanned beacon list can be Exported to an email address by tapping on the Export Beacons Button on Beacon Test Page or the beacon List page.

Enter the email address where you would like to export the beacon list to and tap on Send Email.  An email will be delivered to the email address in a few minutes.

 


Working Beacon List

Tapping on View List button opens Scanned Beacons list. The list shows Beacon IDs of all working beacons with scanned-date and time. If some beacons are missing from the count you started scanning with, you can compare the scanned beacon counts and respective ID’s to exclude the faulty ones from the batch.  The Export icon on the listing page helps Export the list to an email address.

Troubleshooting


All Options on Home Screen are disabled and Home Screen shows Exclamation Mark on header 
If all options on Home Screen are disabled and exclamation mark shows on top. It means any of the 3 Mandatory options are disabled or the app does not have access to use Location and Bluetooth of the device.



Please
tap on Exclamation Icon on top to check and fix it. Next Screen will show the Errors and then we can tap the ‘Click Here’ options to allow access to the mandatory features that at Bluetooth, Location Services and Location Permissions

Allow Bluetooth Access to the App

Tap
Allow, in order to let the app access device’s Bluetooth. Please follow the same for Location Permission.

Enable Location/GPS, Location Permission settings

Tapping on Click here for Location Services will lead to the Location Settings of the device. Please check and turn on Location slider and then tap on Mode to make sure the Location mode is set to High Accuracy.

On Location Mode page, Tap on High Accuracy to change the mode to High Accuracy. Please note that if the device has Low battery and is working on battery Saving Mode then the mode might automatically change to battery saving. Next, press the Back button to go back to the App screen.

All Options are enabled

If all options are enabled and App has Access to the mandatory features, we will see green tick marks and Exclamation mark will go away. It's okay if the pin icon is grey. Please tap the Home icon to go back to the Home screen. All features will be enabled on the Home screen now.
